We are offering an exciting opportunity for a highly motivated and skilled Executive Assistant (EA) to join our dynamic team and provide premium support to the CEO and ELT. Located in our Caringbah office, you will be instrumental in ensuring smooth operations, impeccable communication, and seamless coordination of executive functions, all while managing confidential matters with discretion and professionalism.

Your Role: As the trusted Executive Assistant, you’ll be at the heart of all high-level operations, offering unparalleled support to the CEO. Your responsibilities will include but are not limited to:

  • Email & Correspondence Management: Ensure the CEO’s inbox is organised, with swift, accurate, and thoughtful responses.
  • Executive Scheduling & Travel Coordination: From meetings to business trips, ensure the CEO’s and ELT schedule is streamlined
  • Point of Contact: Build and maintain strong relationships with internal and external stakeholders, ensuring smooth communication.
  • Report & Presentation Preparation: Prepare professional reports and presentations that reflect the company’s strategic vision, including board reports monthly
  • Confidentiality: Handle sensitive information with the utmost discretion, maintaining the highest level of professionalism.
  • Project Management: Take charge of special projects, ensuring timelines, deliverables, and milestones are met with efficiency.
  • Office & Expense Management: Oversee office supplies and expenses, maintaining budget accuracy and policy adherence.
  • Fleet Management: Take responsibility for managing and coordinating the company’s fleet, ensuring all vehicles are properly maintained and used efficiently.
  • Event & Meeting Coordination: From corporate events to team meetings, you’ll ensure all logistics are flawless.

What You’ll Bring to the Table:

  • Proven Experience: At least 5 years of experience as an EA, with the ability to handle multiple priorities under pressure.
  • Exceptional Organisational Skills: A master at managing complex schedules, prioritising tasks, and paying attention to the smallest details.
  • Ability to Multitask: Efficiently juggle competing demands and deadlines, managing diverse responsibilities with ease.
  • Strong Business Acumen: Experience in supporting strategic initiatives and making data-driven decisions.
  • Advanced Software Proficiency: Expertise in PowerPoint, Word, and Excel, with the ability to create polished presentations, reports, and spreadsheets.
  • Previous Experience with Board Papers: Ability to prepare and present board papers, ensuring that they are clear, concise, and impactful.
  • Problem-Solving & Critical Thinking: Strong analytical skills to assess situations and make informed decisions.
  • Positive, Professional Attitude: You will be the face of the CEO’s office, and your approachable, professional demeanor is key to building strong relationships.
  • Tertiary Education (Advantageous): While not essential, a relevant tertiary qualification will be an added advantage.
